Extended Studies Services


Overview

Extended Studies (EXST) is a self-support unit reporting to the Senior Associate Provost. EXST provides administrative services for a broad range of self-support initiatives that include program development and delivery, program management, marketing and communication, student and program services, and financial management.  Developed in partnership with University of Maryland units, these credit and non-credit initiatives target a diverse range of students at the pre-college, undergraduate, graduate, and professional level. By providing quality, innovative learning opportunities, EXST extends the University’s commitment to being a preeminent national center for graduate education, and the institution of choice for undergraduates of exceptional ability and promise.

Extended Studies provides administrative services in the areas of Summer, Winter, and Undergraduate Programs, and Professional and Continuing Education. The administrative services described below pertain to UMD MOOCs.

  • Serve as point of contact for obtaining direction and feedback from the MOOC platforms on topics, proposals, and product recommendations.
  • Act as a resource for compliance with University regulations, policies, and procedures.
  • Provide consultation for:
    • Instructional design and videography, including editing and sharing the expertise of other faculty members who have created MOOCs, and
    • Questions involving IP issues (with help from the Libraries and Office of General Counsel, when necessary), proposals, contracting, and obtaining a grant from the Provost MOOC Program Fund.
  • Assist with determining UMD MOOC-related fee(s).
  • Assist with new UMD MOOC Course Proposal(s) including positioning, naming, and other considerations for the offerings.
  • Assist with and present the course proposal to the MOOC Advisory Board for approval.
  • Administer contracts and transfer Board-approved financial resources to units.
  • Assist with platform training, resources, and support to upload and offer courses.
  • Liaise with UMD administrative offices and act as a resource on university policies and procedures.
  • Upon program launch, ensure that the unit and the platform work together to troubleshoot any issues that arise and resolve them.
  • Provide ongoing interface between the unit and the platform. 
  • Meet regularly with MOOC Advisory Board.

UMD MOOCs are marketed primarily by the platform on which they are offered.

The MOOC platform provides assistance for all student inquiries.

  • Monitor quarterly revenue transfers. 
  • Process and reconcile Provost MOOC Program Fund grants. 
  • Perform financial reconciliations. 
    • Revenue (Coursera and EdX) 
    • Enrollment Data (Coursera and EdX) 
    • Payroll and non-payroll expenses 
  • Manage the documentation retrieval of MOOC faculty agreements and updates to the faculty contact list. 
  • Ensure compliance with financial policies by documenting workflows. 
  • Process quarterly distribution reports. 
  • Process quarterly distribution disbursements to college, department, and faculty. 
  • Process quarterly royalty payments. 
    • Collect W9s for vendor setup 
    • Retrieve and ensure compliance with faculty MOOCs agreements 
  • Monitor the royalty payment process at all levels (A/P and State). 
  • Request updates on royalty payments from A/P and the general accounting division. 
  • Provide financial reports and payment updates to the MOOC’s Assistant Director.
